Travel support for students
Travel support is available to our higher degree by research students from QBI and/or the UQ Graduate School.
QBI HDR Students can access up to $3500 in total travel support during the entirety of their candidature.
To be eligible, students will:
- Have passed their Mid-Candidature Progress Review (PR 2).
- Be a currently enrolled student at the time of booking and will remain a student at the time of travel. Students who have passed their oral examination after thesis submission are no longer enrolled students so would be ineligible. Students who have interrupted their candidature may not be eligible.
- Be presenting at least a poster at the conference or meeting which they will attend.
In order to progress your travel arrangements, once you have been accepted to present at a conference or meeting, you should complete the following UQ travel documentation Student Traveller Declaration form (PDF, 158.2 KB) and submit it to travel@qbi.uq.edu.au
- Domestic or International Travel Declaration
If you are travelling to a domestic conference, funds available will be limited to $1500. If your travel is for an international conference, you will be able to access up to $3500. You will be provided with details about how to book your travel when travel and your budget is approved. Flights and hotel bookings (unless booked as part of the conference package) must not be made using UQ Corporate Credit Cards.
Authorised travel is where a currently enrolled UQ student undertakes an authorised activity more than 50km away from their usual residence or study location and involves an overnight stay. The activity must be related to their enrolment as a student. Detailed information on the UQ Student Travel Procedure including approval processes, insurance, risk management and responsibilities can be found in the Student Travel Procedure. HDR students should read section 4.2.5 of the procedures in particular.
This Student Traveller Declaration form applies to all HDR student travel related to their enrolment as an HDR Student. It should not be used for personal travel, or if travelling as a staff member. The form must be completed by the HDR Student and endorsed by their Principal Advisor and Institute Director prior to undertaking travel. UQ travel insurance only covers the activities related to university business. Students are advised to have their own insurance for personal travel and are required to apply for leave of absence for personal travel.

Please seek reimbursement of your travel expenses by creating an expense claim in ExpenseMe Pro.
You will need your receipts for this as well as the signed Domestic or International Travel Declaration From and any confirmation you receive on the amount approved for your travel (screenshot of an email will suffice for this).
